University of Calgary Cumming School of Medicine - Gairdner Symposium

Chronic Inflammation Symposium II

Summary

The 2021 Chronic Inflammation Symposium II was held virtually by the University of Calgary Cumming School of Medicine in October. Focusing on inflammation, resolution, and treatment, the symposium featured four sessions with engaging presentations from 10 speakers. Audience members connected to learn about cutting edge technology and innovative practices within the realm of chronic inflammation.

Our Role

Our team was engaged to provide conference logistics services services for this virtual symposium. This included participation in planning meetings, technical coordination of the online platform, registration management, and on-site technical support.

Value Add

User Experience:

For this event, we created researched a platform that would feature a main hub and chose Zoom Events to keep the user experience as seamless as possible (you can read about our research and user tips here). Since there were multiple sessions throughout the day, we didn’t want to send out multiple meeting links for each session. To keep participants from jumping from link to link, we researched a platform that would have a central hub with meeting rooms linked from the event page. Our understanding of our client’s goal made it possible for their audience to seamlessly navigate the conference platform.

Our client wanted to showcase their speakers before the event so that attendees knew who to expect in the event’s individual sessions. There were some VIP speakers presenting, so having this information available was vital to the event’s success. In Zoom Events, we build the main hub so that speakers would be highlighted right on the homepage of the platform. That meant there was no need to go to separate pages or open external files to learn about the speakers and their organizations. We added in preferred headshots and bios to elevate the program, which meant that both the audience and the speakers were wow-ed by the caliber of presentations.

Client Requirements:

Our client wanted recordings of each session to be available to attendees for a month following the event. We knew that housing recordings on the platform would help with ease of access for the attendees to view the presentations. This also kept the access limited to registered attendees. By using Zoom Events, the sessions were recorded and automatically uploaded to the platform, which saved the client valuable time. This also meant that there was no waiting period between finishing the event and waiting for recordings to upload.

Client Requirements

“As this was my first large virtual event, I was glad I used BUKSA to help plan and run the Gairdner Symposium. I liked the fact that they handled all the rehearsals before the event and were easily able to connect with all speakers. They were especially helpful the day of the event helping people with any Zoom issues they had. As I am not a great technical person it was helpful to have that peace of mind that there were 3 technical staff on standby the day of the event. I would use BUKSA again!”
