During the unprecedented pandemic, the GLOBE Series needed a different kind of conference to achieve these goals. The 2021 GLOBE Capital brought together global leaders, investors, innovators, and policymakers in the virtual world, helping them make strategic connections through virtual matchmaking and engaging discussions.

Our Role

GLOBE Series engaged BUKSA to provide full-service project management, professional speaker management, virtual event production, run of show and script development, engagement strategies, platform management, rehearsal services, and technical support for their virtual event.

Positive Experience

Our client’s goal was to present a well thought-out, professional, and user-friendly conference platform for attendees to access unique and impactful materials. They also needed to offer a very streamlined and simpleexperience for their speakers and moderators. Our team worked hard to balance new technology with well-known elements to offer a comfortable level of platform accessibility while still ensuring an excellent quality experience.

We brought the BUKSA and client teams into the testing phases to identify gaps in the platform and programming and to find solutions prior any external rehearsals with speakers and moderators. We also used our connections in the events industry to network and brainstorm during the planning process. In the end, we opted to use a combination of Zoom video conferencing and Bizzabo stream integration, allowing for speaker and moderator comfort while at the same time maintaining a high presentation quality for the attendees. We are proud of the end experience: this was the largest attendance registration we have had on a virtual conference to date, and the positive feedback we received was overwhelming.

Session Flow

Our client was expected the conference to be seamless and accessible when it came to presentation sessions, meaning that all possible risks needed to be mitigated well ahead of the event. To get the speakers and sponsors up to speed on the programming and platform, we dedicated several hours to small-group, detailed session rehearsals and technical training. We had many conversations with the planning committee around session flow and pre-planned an approach for each individual session.

Collaboratively, we built out extensive run of show documents for each individual session highlighting the necessary technical cues, transitions, engagement cues and break times. We were able to control key aspects of the programming, such as session polls, to ensure that they occurred at the correct times and did not interrupt the speakers and moderators. Planning ahead made a huge difference in the delivery of powerful and impactful sessions.

Professional Management

Knowing that communication with all stakeholders was vital in upholding the GLOBE Series’ values and reputation, BUKSA served as a professional extension of the client team.

We created efficient and clear communications and outlined clear processes and instructions for speakers, moderators, and the technical team. It was important to work with the client to establish clear team roles and responsibilities, and set expectations for all team members involved. The team’s robust tracking documents and spreadsheets helped us communicate these expectations to the team as well as providing the ability to track duties without stress during the event.
