Summary

Mine Your Potential (MYP) is an annual conference that has taken place since 2013, hosted by Women in Mining (WIM) and Women in Nuclear (WiN) Saskatchewan. Due to the COVID-19 pandemic, the 2020 MYP Conference was held virtually, and was successful in reaching a much wider audience than ever before!  The virtual conference program was held over 2 days using the Hopin platform.

The program included twelve breakout sessions, plenary panel discussion, keynote speakers, mindfulness activities, virtual exhibitor booths and various opportunities for networking.

Our Role

Our team researched, selected, and provided the technical development of the platform ensuring that it met all the conference’s goals. In addition to developing the back end of the platform, BUKSA created audience engagement tools, user guides for each stakeholder group, and held rehearsals to ensure presenters were confident in utilizing the platform. One speaker was even invited to use our BUKSA office studio space as there had been AV issues at their home office which was not optimal for the level of professionalism required for the event. On event day, our team was the behind the scenes as the event producer, technical support, and executed a very professional conference for all (don’t believe us, read the testimonial below!).

Technical difficulties may seem almost impossible to avoid in the online event environment. Through effective rehearsals and personal coaching sessions with every speaker and session chair, the BUKSA team proactively identified potential technical issues and solutions before they had the chance to occur. During these sessions, our team worked with the individual to identify potential issues, check technology, practice transitions, and boost comfort and confidence using the platform. This advance preparation was key in delivering a smooth and successful conference experience.

In the virtual environment, the online platform is your event’s home base and your medium to achieve your event goals. With an understanding of the conference objectives, BUKSA helped the client sort through the plethora platform options, keeping budget in mind and had the right functionality to achieve the objectives of engaging, learning, and connecting. BUKSA approached the platform development with careful consideration of the event experience for all event participants – attendees, speakers, and sponsors. Detailed guides were created for all participants to ensure a smooth and positive experience on the ‘new-to-many’ Hopin platform.
